Head of Administration covering Finance, Human Resources and Corporate Secretary
As one of our key stakeholders in Tokyo, you will be primarily responsible for Finance and Accounting of the local entity in line with the Japanese fiscal and tax regulations while also meeting the accounting requirements of our group based in Europe. Additionally, you will support our HR Operations in collaboration with our Head of HR for Hong Kong and Japan and our external providers.
Financial Accounting: Ensure accurate and timely execution of financial reporting requirements under Local GAAP accounting requirements as well as Group GAAP reporting requirements. Ensure continued governance and controls over the quality and integrity of the reported numbers in the general ledger.
Tax Accounting: Ensure all tax related reporting obligations are completed accurately and in a timely manner to local tax authorities as well as in support of Group reporting requirements.
Regulatory Reporting: Ensure all local regulatory reporting obligations are in compliance with Japan regulatory requirements.
Managerial Accounting: budgeting, forecasting, income and cost analysis and ad-hoc reporting for local and global management across statutory and analytical purposes.
Cash Management and Accounts Payable: Ensure smooth operation of cash management and accounts payable function.
Perform financial controls on time and in line with group requirements.
Audits and Inspections: Manage financial statement audit, internal audit and other tax and regulatory inspections.
Effective and timely escalation to Regional CFO on all issues impacting Finance function and financial numbers.
Management and coaching of one staff.
Payroll : Ensure timely processing of payroll and other benefits (Corporate Housing program, Bonus Overtime, Pension Plan, etc..) in collaboration with vendors.
Tax Filing: Manage the yearly submission of Tax Documents Filings to local authorities, including facilitation of tax adjustments
On-boarding and Off-boarding: Support locally on-boarding and off-boarding process
HR Administrative tasks: Handle various HR-related documentation and reporting in Japanese
Risk, Compliance and Regulations: Ensure compliance with regulations and labour laws in collaboration with our law firm and liaising with service providers and government agents as required
Coordinating local corporate secretary tasks with Asia General Counsel and local external Corporate Secretary Support vendor and ensuring timely filing and registration with local authorities
10+ years' of relevant experience
Knowledge of JGAAP Accounting with some experience in dealing also with other accounting standards such as Swiss GAAP, IFRS or US GAAP
An experience in a HR Operations-related role would be a strong asset
Strong understanding of the Japan financial regulatory and fiscal framework
Strong communications skills with demonstrated ability to deal with an international organization where both local and global requirements need to be met
Clear and concise written and verbal communication in the context of a matrix organisation
Team player who can align with regional and global counterparts while also managing local priorities and stakeholders
Japanese (native), English (fluent)
Other preferred competencies
Certified Public Account or equivalent
Preferable knowledge of Private Banking or Asset Management business
Preferable knowledge of trust business
English Language level: Fluent level
Japanese Language level: Fluent - Native Level (Equivalent to JLPT N1)
Work permission in Japan required
10 - 12 million JPY + bonuses
