This role proactively manages the HRIS (SAP) and processes the fortnightly, monthly and off-cycle pay runs via the outsourced payroll provider. The Payroll & HRIS Specialist advices employees and managers on our employment guidelines including contracts, policies and employment legislation.


  • Ensure all HR systems (SAP, Local Work record system, "my number" registration system, stress-check website, Intranet links and folders) are accurately maintained in a timely manner; and any issues are pro-actively identified and reported to relevant contacts
  • Work closely with the outsourced Payroll provider to ensure all payroll requirements are met and reporting is accurate
  • Run standard HR reports (HR monthly report and Organisational Charts), and create adhoc reports as needed
  • Ensure reporting is accurate and delivered within the relevant timeframes
  • Support the HR Business Partner and Head of HR with the annual pay review process by providing input, reporting and ensuring data accuracy
  • Act as the local Project Manager for global HRIS upgrades and projects
  • Drive continuous improvement and make recommendations to Area HRIS Manager and Head of HR
  • First point of contact for all employees with HR system queries, including resetting passwords for Employee Self Service


  • Partner with the outsourced payroll provider to run (co-ordinate, prepare, process, check and release) the monthly permanent, fortnightly casual and off-cycle payroll runs; including notifications of new starters, employee changes and exits
  • Work closely with the outsourced payroll provider and Finance team to ensure employees are paid correctly and on time
  • First point of contact for employees and outsourced payroll provider on payroll matters
  • Prepare emails to employees, managers and the HR team using the email templates as per HR and payroll processes
  • Ensure accurate and timely information to Finance including preparation of journal files, confirmation of new employee bank accounts
  • Ensure data quality and synchronization between the outsourced payroll provider data and HRIS
  • Drive continuous improvement and work with the HR team to implement process improvements for Payroll and HR processes


  • Support Head of HR and Business Partner in creating and maintaining headcount plan data
  • Manage the administration of the starters, changes and leavers' processes including relocation.
  • Manage employee and payroll related paper and electronic based records
  • Manage payroll related invoices to ensure that they are coded correctly and paid in an accurate and timely way
  • Own and update policies and sections on Workbench that relate to HR Systems and Payroll
  • Manage the annual Code of Conduct submission process including communications and reporting
  • Manage statistical reports requested by government or non-government organizations - some of them are legally required.


  • Remain up to date on employment legislation including leave, workhours and drive compliance to the relevant frameworks
  • Work with HR team to ensure that HR polices are communicated in timely manner and records maintained
  • Manage mandatory required annual health check process (outsourced)
  • Interface with Company doctor and administer Company Hygiene Committee

Education and Qualifications
Bachelor's Degree (must), Certified Labor and Social Insurance Specialist (社会保険労務士) (Plus)


  1. Experience in processing payroll, with an external provider desirable
  2. Experience in a HRIS administration / system management role (SAP desirable)
  3. Experience in interpreting and explaining employment legislation and company policies to employees
  4. Experience in FMCG industry desirable
  5. Experience in a matrix organisation desirable

Knowledge and Skills

  1. HR systems knowledge at immediate to expert level, SAP desirable
  2. Attention to detail and accuracy
  3. Excellent organisational skills including ability to meet short deadlines
  4. Ability to priorities effectively and focus on multiple tasks and requests
  5. Ability to quickly build effective relationships, locally and across borders
  6. Ability to use judgement, initiative and common sense to solve problems and find solutions
  7. Ability to use deal with sensitive and confidential information in a discreet and professional manner
  8. Advanced excel skills
  9. Intermediate Power Point desirable
