Job Scope

  • Indirect Procurement Staff will work closely with Team leader and Director of Administration for broad range of office services activities. The department responsibilities include (but not limited to):
    • Builds ongoing and successful relationships with suppliers: fosters cooperation, and ensures timely performance, payment and dispute resolution
    • Starts to educate and persuade stakeholders to make the most value-oriented purchasing decisions
    • Contributes to strategic elements of sourcing (goals, processes) to increase value, save money and operate effectively
    • Communicates with vendors and starts to negotiate low risk contracts
    • Tracks category(s) spend to identify savings and reduce risk; defines and acts on savings opportunities
    • Delivers against savings targets and required service levels for lower dollar value spend
    • Monitors and analyzes changes to internal business needs and external supply market
    • Manages RFP documents with assistance from Sourcing Leaders
    • Evaluates qualified supplier base in line with global sourcing strategy
    • Conducts research and development, pulls data and determines initial hypothesis
    • Starts to identify process and other improvement opportunities that can impact effectiveness of Sourcing and Optimize as a whole
    • Contributes to departmental initiatives, providing insight on market activity, supplier initiatives and innovations and process issues for defined category(s)
    • Support office space (e.g., manage office space usage, space expansion projects, and external rental space)
    • Office operation (e.g. closely work with outsourced facility management team, acting as liaison with Firm to launch new process)

Role Description

The Indirect Procurement Staff performs a variety of administrative activities that collectively contribute to the functionality and appearance of the office. Responsibilities may include the following:

  • Support and coordinate various internal projects/process by managing vendors. Vendor management may include the following;
    • Support internal clients with day to day ad-hoc sourcing requests, various cost, change management & supplier performance management and meet SLA and productivity metrics
    • Support sourcing/negotiation projects using various means
    • Manage contract lifecycle while leveraging sourcing and contract management tools
    • Explore the possibility of additions/replacement of vendors, analyze the database usage
    • Receive invoices, submit payment requests, and manage internal accounting
  • Coordinate maintenance of physical space by advising and working with outsourced facility management team, including supervising external contractors, and vendors, and performing quality control inspections
  • Coordinate use of physical space, including assisting in space planning and seating assignments
  • Provide direct assistance and back-up support to department manager and teammates across range of office services areas


  • Minimum of 5 years working experience in administrative field, such as office services, procurement, facilities management.
  • Experience of working in a multinational environment is a plus
  • Excellent articulation and communication skills, fluency in English & Japanese is required
  • Excellent organizational and project management skills
  • Ability to manage multiple priorities. Good multi-task player
  • Flexibility and ability to deal with ambiguity independently
  • Positive mind-set with ability of self-motivated and service mind with "can do" attitude finding ways to get things done
  • Solid relationship building skills
  • Strong administrative skillset with accuracy, speed and attention to details
  • Bachelor's Degree or equivalent work experience
