・Provide a full range of administrative support, assisting the executive in achieving his objectives.
・Serving as the "go-to" person "in-the-know" for facilitating communication and solutions for the executive, his teams, and our 3DS customers and clients.
・Maintain complex and dynamic schedules of the executive, with consideration of other executives, and those affected by changes, when making adjustments to meetings within their agenda.
・Utilize a queued sense, to anticipate executives' priorities and needs by realigning his or her agenda in to maintain current objectives, while adjusting for new ones.
・Coordinate extensive domestic and international travel arrangements.
・Manage expenses through eProcurement systems; including travel credit card and purchasing card reconciliations, along with expense report submissions and purchasing requisitions and invoice processing on behalf of executive.
・Facilitate inquiries, including monitoring and answering executives phone lines, email, fax, and written correspondence.
・Plan, monitor, and execute online, remote, video and tele-conferencing meetings and events on behalf of executive and team.
・As assigned, participate in event planning and logistics utilizing approved processes for: onsite support and calendar coordination, meeting room bookings, catering, security, onsite travel and hospitality requests in support of executives and attendees.
・Proven ability to provide remote assistance by multi-tasking numerous requests from varying requesters often representing worldwide locations and time zones.
・Facilitate paper flow and executive execution for approval of documents including confidential information.
・Maintain confidentiality regarding company financial information, compensation, and investor relations.
・Develop a clear understanding and utilization of administrative best practices, ensuring the highest quality execution and service.
・Serve as a key member of the administrative team, partnering with team members for providing cross coverage and support for vacations and during times when away from the office.
・Ability to build relationships one-to-one and within teams and other organizations
・Develop network by liaising with local colleagues and those abroad in our worldwide offices
・Understand priorities and manage completion of multiple requests from different sources
・Proven international and domestic travel and expense experience
・Competent in expense reporting procedures, international conversions, and the ability to adhere to travel policies
